Over my extensive decade-long experience as a UX Leader in tech, my teams have deployed the practice of "Open Office Hours" to provide valuable assistance to designers and cross-functional teams in tackling design challenges. Typically, this involves a bi-weekly recurring meeting, thoughtfully scheduled to accommodate global time zones, coupled with additional flexible sessions to cater to teams unable to attend the standing meetings.
Embracing Versatility Our Open Office Hours are adaptable to both in-person and online formats. Whether you prefer a traditional brainstorming session on a physical whiteboard or a digital equivalent, such as Fig Jam, Miro, or Mural, that allows for session recording, the choice is yours.
In these sessions, teams present their design-related issues, and together, we embark on a collaborative journey to discover effective solutions. If a particular challenge necessitates more time and attention, we hold follow-up sessions or assign a dedicated designer to provide ongoing support.
The Role of a Team Scribe To ensure a meticulous record of our discussions and outcomes, we employ a shared document in which we document key points from each session. In addition, we appoint a scribe for each session whose responsibilities encompass tracking problem resolutions, documenting meeting durations, and overseeing the meeting agenda, which is carried forward from the previous session.
Streamlining with Automated Agendas In an effort to streamline our operations, we leverage sign-up forms to document and automate our session management. These forms enable participants to articulate the problems they wish to address and specify the time required, allowing us to prepare accordingly and collaborate effectively with the teams.
